Privacy Policy

Stellogics, Inc. ("Stellogics," "we," "us," or "our") provides an AI-powered print estimating platform for commercial print shops. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
This policy applies to stellogics.ai and api.stellogics.ai (the "Service").
1. Information We Collect
Account information. When you or your shop signs up, we collect your name, email address, shop name, and role (Admin, Estimator, or Sales).
Customer and quote data. Information you enter or upload to create quotes, including RFQ content, customer names, contact details, print specifications, pricing, and any files you upload.
Connected email data. If you connect a Gmail, Outlook, or IMAP inbox, we access incoming emails to identify and extract print RFQs. See Section 3 for how we handle this specifically.
Usage data. Log data such as IP address, browser type, pages visited, and actions taken in the Service, collected automatically for security and product-improvement purposes.
2. How We Use Information
We use the information we collect to:
- Operate and provide the Service, including generating quotes
- Extract print specifications and select pricing components using AI models (see Section 4)
- Maintain your account, shop, and team member roles
- Communicate with you about your account or the Service
- Monitor, secure, and improve the Service
- Comply with legal obligations
We do not sell your personal information or your customers' information to third parties.
3. Google User Data (Gmail Integration)
If you authorize Stellogics to connect to your Gmail account, we access your inbox solely to identify incoming print RFQs (requests for quote) and extract structured print specifications from them.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We only access the Gmail data needed to detect and process RFQ emails.
- We do not use Gmail data to serve advertisements.
- We do not allow humans to read Gmail data except: (a) with your affirmative agreement for a specific message, for support purposes; (b) for security purposes such as investigating abuse; or (c) to comply with applicable law.
- We do not transfer Gmail data to third parties except as necessary to provide the Service (e.g., to our AI processing subprocessors described in Section 4), to comply with the law, as part of a merger or acquisition, or with your explicit consent.
- You can disconnect your Gmail account at any time from Shop Settings, which immediately stops all further access.
The same practices apply to Microsoft Outlook data if you connect an Outlook inbox.
4. AI Processing and Service Providers
To extract print specifications and select pricing components, we send relevant text, such as pasted RFQ content or emails you have chosen to process, to third-party providers for processing. We currently use Anthropic for text processing and AssemblyAI for voice transcription. These providers process this data solely to return structured results to Stellogics and do not use it to train their own models.
We rely on the following service providers to operate the Service:
- Supabase. Database, authentication, and file storage
- Render. Application hosting
- Netlify. Web hosting for our application and marketing site
- Cloudflare. DNS and network delivery
- Stripe. Payment processing and subscription billing
- Resend. Transactional email delivery
- Anthropic. Automated text processing for quote generation
- AssemblyAI. Voice transcription
- Google and Microsoft. Mailbox access, only if you connect an inbox
Each provider is contractually bound to use your data only to provide services to us, and not for any other purpose. We may add or change providers, and will update this policy when we do.
5. Data Retention
We retain your information while your shop's account is active. After cancellation or downgrade from a paid plan, we apply the following schedule:
- Shop data (pricing catalog, quotes, customers, RFQ content). 90 calendar days, then deleted
- Account data (name, email, shop profile). 90 calendar days, then deleted
- Connected mailbox access and stored tokens. Revoked and deleted immediately on disconnection or cancellation
- Billing and tax records. 7 years, as required by law
- Encrypted backups. Up to 7 days beyond deletion, then rotated out
The 90 day window exists so you can export your data or reactivate your account without losing your setup. You may request earlier deletion at any time by contacting us at the email below, subject to the legal record-keeping requirement for billing and tax records.
6. Data Security
We use industry-standard safeguards, including encrypted connections (HTTPS/TLS), authenticated API access, and role-based access controls (Admin/Estimator/Sales) to limit data access within your organization. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Your Choices
- You may disconnect a connected Gmail/Outlook inbox at any time in Shop Settings.
- You may request a copy of, correction to, or deletion of your personal data by contacting us.
- Shop Admins may manage team member roles and access within their account.
8. California Privacy Rights
If you are a California resident, you have the right to: (a) know the categories and specific pieces of personal information we have collected about you; (b) request deletion of your personal information, subject to certain exceptions; (c) correct inaccurate personal information; and (d) not be discriminated against for exercising these rights.
We do not sell or share personal information for cross-context behavioral advertising. To exercise any of these rights, contact us at the email below. We may need to verify your identity before processing your request.
9. Data Breach Notification
In the event of a security incident that compromises your personal information, we will notify affected account holders without undue delay and in accordance with applicable law, and will take reasonable steps to investigate and remediate the incident.
10. Cookies and Analytics
Our marketing website may use cookies or similar technologies to understand site usage and improve our content. These are limited to functional and analytics purposes; we do not use them for third-party advertising.
11. Children's Privacy
The Service is intended for business use by adults and is not directed to individuals under 18. We do not knowingly collect data from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of the Service after changes constitutes acceptance of the updated policy.
